What is a Learning Management System (LMS)?

A learning management system (LMS) is an eLearning platform for administering, tracking, reporting, and delivering compliance, educational, training, learning, or development programs and courses. 

It’s an exceptional way to deliver and manage valuable content to your people. The range of topics is pervasive. You can view the Course Catalog, ask us for other topics, and add your courses and/or videos to the platform. The possibilities are endless.

Of course, we don’t just give you a LMS. We do most of the heavy lifting, like managing licenses, maintaining the platform, building course track libraries, and importing custom videos and courses. Due to the integration we have in place with the LMS provider, our automation auto-generates a mapped email address to the primary email address listed in the employees HR file. Any updates to the email address in the LMS will be overwritten by the API automation.

Awesome automation

The AdvanStaff HR LMS is directly tied to the AdvanStaff HR Cloud (Prism) so employee info is seamlessly transferred from one system to the next, no employee data entry is required.

Group automation is enabled by default. Groups are automatically created and updated based on several factors like department, location and division. You can manually create even more group options, such as job title, state of employment, etc.

Manually adding employees

Worksite employees may choose to assign courses to non-employee users. In this case, the worksite manager would add the user manually using the manager LMS interface.

  • LMS users log in via a link from the Employee Portal
  • Adding employees, deletions, or updates to the employee group assignments can be handled by the worksite manager from within the LMS portal

How to…..

The Learning Management System is deeply integrated with the manager (MSS) and employee (ESS) portals. Employees and managers must use the MSS and ESS portals to access the LMS. There is no requirement to store an additional username or password.

The system uses user credentials and knows automatically if the user is a manager or employee user

Managers and employees can access the LMS a few ways:

  1. Manager Portal (MSS/Prism):
    • HR Menu -> HR | Other -> HR Learning (LMS)
  2. Employee Portal (ESS):
    • Default Dashboard -> “Learning” widget -> Click on View Courses
    • Main Menu -> “Worksite Manager Menu” -> Learning Management System

There are a few methods to assign courses to employees.

  1. Individual assignment
    • Ad Hoc course assignment
  2. Bulk Assign by Group
    • All employees in a group can be assigned a course in bulk.
    • If a course is reassigned to a group, the LMS administrator may “skip” those users who have already completed a course, or the administrator may “re-assign” courses to be taken again. “Reassign courses” is helpful for annual course requirements.

Following are the steps to assign courses to groups:

  1. Identify an existing GROUP or create a new GROUP using the “Group Management” on the left main menu.
    1. Groups labeled (auto) are dynamically built groups that the AdvanStaff HR system will auto-populate based on the named convention. The groups will auto-enroll all members who qualify. Members may not be removed from auto groups. If the criteria do not match your needs, create a “custom” group.
  2. Select the group you want to manage from the group list and click on the “Manage Group” button.
  3. Click on “Bulk Assign”

Bulk Assign Course” will assign the course to all members of the GROUP. The next step is to set a DUE DATE so notifications and deadlines will be defined.

Due to the integration we have in place with the LMS provider, our automation auto-generates a mapped email address to the to the email address listed in the employee’s HR file. Please do not update the employee’s email address in the LMS system.
