How do I rehire a former employee?

If you are ready to rehire a former employee, the process is slightly different than processing a brand new hire.

The former employee’s record will retain their data as it existed upon termination. Here is a checklist of items that you need to specifically review:

  • Position should be reviewed and edited as needed
  • Location, Department and Division should be reviewed and edited as needed
  • Rate of Pay should be reviewed and edited as needed
  • Skills (work cards) and Education data may require updates
  • Login Credentials for terminated employees will retain their from their previous employment period.
    • They will REUSE those credentials
  • All Types of PTO (Personal Time Off ) accrual information in the system will pick-up where it left off.
    • Hiring Managers must manually validate the employee’s PTO balance records upon hire.
    • Activation or re-activation steps for PTO will differ, depending upon whether it has been more or less than 90 days since their last hire date

Determine whether your employee will be rehired less-than or more-than 90 days from the last day they worked for your company.

Begin in the AdvanStaff HR Manager Portal


Go to the former employee’s existing profile. You can do this by entering the employees name in the search bar.

On the Name Tab: If there is no position change, no changes needed. If there is a position change, click on position change then:

  • Click on new position code and select the appropriate position
  • Then enter the New Position Start Date
  • Then select New Position Reason Code and select “New Position”
  • First SAVE, then Close

On the Address Tab: If there is no position change, no changes needed. If there is a position change, click on position change then:

  • Enter/Verify the Cell number
  • Enter/Verify the Personal Email
  • Mark the Personal Email line as “Primary”
  • Save

On the Work Tab: If the information listed is correct, no changes needed. IF not, then

  • Click on Worksite Location and select the appropriate location
  • Click on Division and select the appropriate division
  • Click on Department and select the appropriate department
  • Save

On the Pay Tab: If the information listed is correct, no changes needed. IF the pay rate has changed, then

  • Select Pay Rate Change
  • Enter the New Pay Rate and select the right pay period, push the tab button to auto populate Hours and Annualized Pay
  • Enter the Effective date
  • Reason – select “New Position”
  • Also update Benefit Salary which is the same amount as Annual Pay Rate
  • Save

If your company requires work cards you can update under the Skills and Education Tab

Proceed to the Rehire Screen by entering the word REHIRE in the search bar.

  • REVIEW: Go to Employee Details screen to make additional changes & launch onboarding
  • Click “SAVE & CONTINUE”
  • Click “SAVE & ONBOARD”
  • An approval request will be sent to AdvanStaff, upon approval the employee will receive the welcome e-mail with the link to complete their electronic onboarding workflow.
    • If the employee does not have an e-mail, they can go directly to the ESS.ADVANSTAFF.COM to log in using their existing credentials.
  • Once your employee has finished the workflow, your I-9 approver will receive an approval alert and will need to certify the I9 part 2 BEFORE the rehire is classified as a FULLY active employee in the system(s)

Proceed to the Rehire Screen by entering the word REHIRE in the search bar.
